HR Administrator

Role Purpose:
Spotware Systems is looking for an HR Administrator  to support our HR department’s daily activities
This role will be responsible for supporting the full employee lifecycle — from onboarding and day-to-day HR administration to offboarding. The role also includes assisting with migration-related matters and liaising with local authorities in Cyprus. This position requires strong knowledge of Cypriot labor, tax, and migration regulations, as well as the ability to provide structured HR support to both new hires and current employees.

Key Responsibilities

HR Functions

  • Prepare, send, and maintain HR documents (employment contracts, NDAs, employee requests, certificates).
  • Manage the full onboarding process: collect documents, organize office tours, support new hires with bank account registration and other administrative needs. In Addition: Register employees to Social Insurances and Tax Department
  • Provide HR support to employees by preparing certificates, letters, and documents upon request.
  • Maintain employee records, files, and HR databases in both paper and digital formats, ensuring structure and accuracy.
  • Support HR projects and initiatives (surveys, engagement activities, training sessions, etc.).
  • Manage offboarding procedures: prepare termination documentation, ensure smooth exit process, and support departing employees.

Administrative & Migration Support

  • Provide assistance to the main Migration Specialist during peak workload periods.
  • Support in preparing documents for visas, residence permits, work permits, and renewals.
  • Accompany employees to migration authorities or other public institutions when required.
  • Support the relocation process for new hires, including coordination with banks and relevant authorities.

Assist with general administrative tasks to ensure smooth HR operations.

Requirements

  • Experience working with Cypriot legislation (labor law, taxes, migration procedures).
  • At least 2 years of experience in HR, administration, or migration support.
  • Strong organizational skills and attention to detail; ability to handle a high volume of documentation.
  • Fluency in English (Greek native).
    Bachelor’s degree in Human Resources, Business Administration, Law, or a related field will be a plus
  • Proficiency in Microsoft Office; familiarity with HRIS systems is a plus.
  • Ability to maintain confidentiality, professionalism, and integrity at all times.
  • Highly responsible and well-structured.
