Receptionist / Administrative Assistant
Spotware Systems is looking for a highly professional and friendly Receptionist to be the face of the company. As the first point of contact for visitors, and employees, the Receptionist plays a crucial role in creating a positive and welcoming atmosphere.
This position requires exceptional communication and organizational skills, as well as a strong customer service orientation. The successful candidate will be responsible for managing the front desk, handling incoming calls, scheduling appointments, and providing general administrative support to various departments.
Front Desk Management:
- Greeting and welcoming visitors and employees in a warm and professional manner.
- Managing incoming and outgoing mail and packages.
Call Handling and Communication:
- Answering incoming phone calls promptly and professionally, redirecting calls as necessary.
- Providing accurate information about the company and its services.
- Assisting with general administrative tasks, such as data entry, filing, and photocopying.
- Providing support to various departments, including HR, finance, and marketing, as needed.
- Maintaining office supplies inventory and place orders when necessary.
- High school diploma or equivalent; additional education or certification is a plus.
- Minimum experience as a receptionist or in a customer service role.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to maintain a positive and professional attitude.
- Exceptional organizational and multitasking abilities.
- Proficient in using office equipment and computer applications, including MS Office.
- Ability to handle sensitive and confidential information with integrity.
